Bogor, September 16, 2026 — The Directorate General of Social Forestry under the Ministry of Forestry of the Republic of Indonesia held its Functional Positions Coordination Meeting on September 15–16, 2026, in Bogor.

The two-day forum brought together functional officers to discuss their contributions, expectations, and collaborative approaches to strengthening the role of functional positions within the Directorate General of Social Forestry.

Held across Grand Savero Hotel and the Bogor Botanical Gardens, the programme combined discussion forums, collaborative activities, coordination sessions, and an outdoor experience.

For the programme, Evoria Event Orchestrator supported the overall event requirements, including event consultation and planning, registration and participant management, production, visual communication, documentation, and post-event evaluation.

Strengthening Collaboration Through Dialogue

The coordination meeting opened with remarks from the Director General of Social Forestry, setting the context for discussions on the strategic role of functional positions in supporting the organization’s objectives.

The programme continued with a series of insight and discussion sessions, followed by coordination sessions that provided participants with space to share perspectives, needs, and expectations regarding the future development of functional roles.

Through these conversations, participants were encouraged not only to exchange experiences but also to identify opportunities for stronger collaboration across different functional areas within the Directorate General of Social Forestry.

Designing the Forum Together

One of the key components of the programme was the Forum Design Lab, a participatory session designed to actively involve participants in shaping ideas and approaches for future collaboration.

During the session, participants explored the contributions they could bring, the support they needed, and ways to strengthen connections among functional officers as part of a more sustainable collaborative network.

The participatory format allowed participants to become active contributors in developing ideas and potential follow-up actions beyond the coordination meeting itself.

Connecting Beyond the Meeting Room

Beyond the formal discussion and coordination sessions, the programme also featured a Fun Walk at the Bogor Botanical Gardens.

The activity provided participants with an opportunity to connect outside the formal meeting environment and interact in a more relaxed setting.

By combining structured discussions with informal engagement, the two-day programme created additional space for communication and relationship-building among participants.

Managing the Participant Journey

To support participants before and throughout the event, Evoria Event Orchestrator managed an integrated participant management process.

The scope included:

  • Attendance confirmation
  • Pre-event participant coordination
  • On-site registration
  • Participant data collection
  • Merchandise distribution
  • Coordination of participant activities

The event’s registration system recorded 47 participant registrations, which were managed as part of the programme’s operational and data requirements.

Participant management also considered accessibility, movement flow, and operational requirements across the different event locations.

From Planning to On-Ground Execution

Evoria supported the programme through end-to-end consultation covering pre-event planning, event-day execution, evaluation, and reporting.

The planning process included registration management, accessibility planning, risk and safety management, venue management, and post-event surveys to help ensure each stage of the programme was managed in a structured manner.

On the production side, Evoria supported:

  • Registration system
  • Print production
  • Talent management
  • Technical support
  • Event documentation

For communication and collateral, Evoria developed a range of event materials including the key visual, backdrop, certificates, event signage, posters, looping bumpers, and multimedia graphics.

Through collaboration between the Ministry of Forestry of the Republic of Indonesia, the participants, and all teams involved, the coordination meeting became a platform for strengthening communication, building collaboration, and developing shared approaches to support the role of functional positions within Social Forestry.
